Air King Mechanical Services LLC ("Air King," "we," "us," or "our") uses personal information to respond to inquiries and provide heating, cooling, and related services. This policy explains how we handle information collected through our website, Facebook and Instagram lead forms, customer communications, and Air King CRM, our customer-management system.
Information we collect
Depending on how you interact with us, we collect:
- Contact and service information: name, email address, telephone number, service address, and information you provide about a property, equipment, or service request.
- Lead information: answers submitted through website or social-media forms, referral information, and identifiers for the form, advertisement, or campaign associated with an inquiry.
- Customer records: estimates, selected equipment and options, accepted proposals, electronic acceptance records, appointment and job details, service notes, photos you provide or that document our work, warranties, invoices, and payment history.
- Communications and preferences: messages exchanged with us, delivery or interaction information available from our communication providers, and consent or opt-out records.
- Technical information: information generated when using our online services, such as IP address, browser or device information, request times, and server or security logs.
Please do not send Social Security numbers, full payment-card details, passwords, or other unnecessary sensitive information through our inquiry forms or ordinary email or text messages.
How we use information
We use information to respond to requests, prepare and deliver quotes, arrange service, maintain equipment and job histories, issue invoices, process and reconcile payments, send receipts, and provide customer support. We also use information to operate and protect our systems, resolve disputes, keep business records, and meet applicable legal obligations.
Where permitted and consistent with your communication preferences, we may send maintenance reminders, seasonal offers, referral rewards, or other Air King marketing. Submitting a service inquiry does not by itself authorize every type of promotional communication.
Facebook and Instagram leads
When you submit an Air King lead form on Facebook or Instagram, we receive the information you submit and associated lead or advertising identifiers. We may transfer that information into Air King CRM to contact you about your request, track its source, and manage any resulting service relationship. Meta also processes information under its own privacy policies. Our receipt of a lead does not give us access to your Facebook password or private account messages.
Payments
Online card payments are processed through Stripe. Payment-card information entered into Stripe's hosted payment experience is handled by Stripe. Air King CRM records transaction references, amounts, dates, payment status, and limited payment-method information as needed for billing and support. We do not store full card numbers or card security codes in Air King CRM.
How information is shared
We share information with Air King personnel and service providers as needed for the purposes described here. These may include providers of website and application hosting, database storage, email and text delivery, payment processing, and business support. Our current systems include Render, Supabase, Resend, and Stripe. Providers may change as our services develop.
We may also disclose information when required by law or reasonably necessary to address fraud, protect rights or safety, or resolve a dispute. Relevant records may be transferred in a business sale or reorganization, subject to applicable requirements.
We do not sell customer information or provide customer contact information to other businesses for their independent marketing. We do not share mobile opt-in information or consent with third parties for their own marketing; providers that deliver messages or support our services may process that information for us.
Online technologies
Our website forms record campaign tags and advertising click identifiers, such as UTM parameters, gclid, or fbclid, when those identifiers are present in the link used to reach the form. We use this information to understand where inquiries came from.
Our online services use technical features needed to display pages, maintain authorized sessions, process requests, and protect the service. Your browser may allow you to restrict cookies or local storage, but doing so can affect functionality. Third-party websites and services you choose to visit have their own privacy practices.
Communication choices
You may opt out of marketing emails using the unsubscribe option in the message or by contacting us. For text messages sent through a text-messaging service, follow the opt-out instructions in the message, including replying STOP where supported. You can also contact us directly to update your preferences.
Opting out of marketing does not cancel scheduled work or erase billing records. We may still provide necessary service, billing, or other non-marketing communications through an appropriate permitted channel. We honor applicable channel-specific restrictions and will not use marketing opt-outs as permission to send otherwise prohibited messages.
Retention and security
We retain information for as long as reasonably needed for service, warranty support, business records, security, disputes, and applicable legal requirements. The period depends on the type of record and its purpose. Deletion requests may be subject to these needs and requirements.
We use safeguards intended to protect personal information and restrict access to authorized uses. No system or transmission method can be guaranteed completely secure.
Access, corrections, and deletion
To ask about information we hold, request a correction or deletion, or update communication preferences, email airkingmech@gmail.com or call (816) 519-6067. We may ask for enough information to verify your identity and locate the relevant records. We will handle requests under applicable law and explain any records that must be retained. We may retain a limited opt-out record to help prevent unwanted future marketing.
Deleting information from Air King's systems does not automatically delete information held independently by Meta or another provider. See the separate Data Deletion Instructions for the request process.
Children and third-party services
Our services are intended for adults requesting property or equipment services, and are not directed to children under 13. If you believe a child has provided personal information, contact us so we can review and address it. Links to third-party websites do not make Air King responsible for those websites' privacy practices.
Policy updates and contact
We may update this policy as our practices or services change. The effective date will identify the current version. Where required, we will provide additional notice or obtain consent for changes.
